1. The CampusOne service
CampusOne AI is a multi-tenant education management platform for schools, colleges, universities, coaching institutes, and training organisations. The service may include institution websites, admissions, student and staff records, academics, attendance, timetable, fees, communications, reports, payment integrations, and AI-assisted workflows.
By creating an account or using a CampusOne workspace, you agree to these terms. If you use CampusOne for an institution, you confirm that you are authorised to accept these terms on its behalf.
2. Accounts and access
Institutions are responsible for accurate registration information, secure administrator credentials, role and permission settings, and ensuring that each user receives only the access they need. Do not share passwords, bypass tenant or role restrictions, or allow another person to use an account assigned to you.
Notify info@campusoneai.com promptly if you suspect unauthorised access or a security incident. We may suspend access where reasonably necessary to protect users, data, the service, or other institutions.
3. Institution data and responsibilities
The institution retains ownership of the student, staff, guardian, academic, financial, attendance, admission, and other content it submits. The institution decides why that data is collected and how it is used. CampusOne processes institution data to provide, secure, maintain, and improve the contracted service.
Institutions are responsible for notices, permissions, lawful bases, and policies for information they upload—especially information about children, students, staff, guardians, health, identity, or finances. Institutions must also respond to data requests from their users when required by applicable law.
4. AI features
CampusOne AI may summarise records, answer questions, create drafts, generate reports, assist with workflows, and prepare actions for review. AI output can be incomplete or incorrect and must be checked by an authorised human before it is relied upon for admissions, attendance, leave, fees, student support, employment, disciplinary, academic, or other important decisions.
AI actions are subject to the authenticated user, institution, role permissions, workflow approvals, and confirmation controls configured in the service. Do not treat AI output as legal, medical, financial, academic, or employment advice.
When an institution enables an external AI provider, relevant prompts, files, and context may be sent to that provider to deliver the requested feature. CampusOne does not intentionally use institution data to train a public AI model unless the institution separately agrees in writing.
5. Plans, payments, and third parties
Plan limits, features, prices, billing cycles, discounts, taxes, and renewal terms are shown during purchase or in the institution’s account. Unless otherwise stated, subscriptions renew according to the selected cycle until cancelled. Payment providers process payment details under their own terms and privacy policies; CampusOne does not store full card numbers.
CampusOne may connect to email, payment, domain, hosting, storage, analytics, and AI providers. Those services may have separate terms, availability, fees, and data practices. The institution is responsible for configuring and using third-party integrations lawfully.
6. Acceptable use
You must not attack or probe the service, interfere with another tenant, impersonate a person, send unlawful or abusive communications, upload malicious code, scrape the platform, reverse engineer protected components, or attempt to access data outside your workspace and permissions.
7. Intellectual property
CampusOne and its licensors own the software, branding, templates, documentation, and platform technology. We grant your institution a limited, non-exclusive, non-transferable right to use the service during an active subscription. You retain rights to your own content and grant us only the permissions needed to operate the service.
8. Availability, suspension, and liability
We work to keep CampusOne secure and available, but the service may occasionally be unavailable for maintenance, upgrades, outages, or events outside our reasonable control. We do not promise that every AI response, integration, template, or feature will be uninterrupted or error-free.
To the maximum extent permitted by applicable law, CampusOne is not liable for indirect, incidental, special, consequential, or loss-of-data damages arising from use of the service. Nothing in these terms excludes liability that cannot legally be excluded. Any direct liability is limited to the fees paid by the institution for the affected service during the twelve months before the event giving rise to the claim.
We may suspend or terminate access for material breach, non-payment, misuse, security risk, or legal requirement. On termination, the institution may request an export of available data during the applicable retention period.
9. Changes and contact
We may update these terms when the service, law, or security requirements change. We will publish the updated version and update the effective date. Continued use after that date means the updated terms apply.
